Privacy policy
Digital Notebook holds your thinking, so this is written plainly. The short version: the part that decides what to show you runs on your own device; a few features use cloud services, and each one is listed below; we never sell your data or use it to train AI models.
What stays on your device
- Matching. The model that turns your notes into searchable meaning, and the matching that surfaces past notes while you write, run in your browser or desktop app.
- Voice. Brain dump transcribes speech with a model on your machine. Audio is never uploaded.
- Imports. Obsidian, Markdown, Notion and bookmark files are read on your device; only the resulting notes are saved to your account.
- Desktop captures. In the desktop app, screenshots and right-clicked images are read (text recognition) on your machine.
What we store
- Your account — your name, email address and sign-in identifier from Google.
- Your notes — everything you write, capture, import or email to your notebook.
- Capture credentials — the tokens that connect a browser or inbox to your account. We store only a one-way hash of each, never the token itself.
- Product events — for example that a suggestion was opened or dismissed, so we can tell whether the product is useful. Events do not contain the text of your notes.
- Error reports — when something breaks, the error message, the page it happened on and your browser type. They never include your notes.
- Feedback — whatever you send us through the feedback button.
Features that use cloud services
- Topic tags. When a capture is saved, its text is sent to our AI model provider to suggest up to three topic tags.
- The assistant. When you ask the assistant a question, your question and the passages from your notes it needs are sent to our AI model provider to write the answer.
- Sharper matching and summaries (optional). If you switch on cloud re-ranking or ask for a summary, the passages involved are sent to the model provider. These are labelled where you switch them on.
- Web research (optional). If the assistant researches the web for you, your question is sent to a search service.
- Email to your notebook. Mail you forward or subscribe to your notebook address passes through our mail service, is turned into a note, and is not stored anywhere else.
- Browser saving. When the extension saves a page, the content it read is sent to your notebook. The extension reads a page only when you ask it to save.
Who processes your data
We use these services to run the product. Each processes data only to provide its part of it:
- Google Firebase — sign-in and the database that stores your notes.
- Vercel — hosts the web app and its server functions.
- Cloudflare — receives email sent to your notebook address.
- AI model providers (currently NVIDIA and Ollama) — topic tags and the assistant, as described above.
- Stripe — payments, if you subscribe. We never see your card details.
We do not sell your data, share it with advertisers, or use your notes to train AI models.
Your control
- Export — download your notes as files at any time from inside the notebook.
- Delete — delete any note yourself. To delete your whole account and everything in it, email support@thenotebook.site and we will do it within 30 days.
- Revoke — disconnect any browser, or replace your notebook email address, and the old one stops working immediately.
Children
Digital Notebook is not intended for anyone under 16.
Changes
If we change what we collect or who processes it, we will update this page and its date, and tell you in the app before the change applies to your notes.
